Free Canada Invoice Template
Canada layers federal GST with provincial HST, PST, or QST depending on where your client is. Your invoice needs to show the right tax for the right province — and your GST/HST registration number when you're registered.

What a Canada invoice must include
- Your business name and address
- Your GST/HST registration number (if registered)
- A unique invoice number and the invoice date
- Your client's name and address
- Clear description of each service, with quantity and rate
- The subtotal before tax
- GST/HST (and PST/QST where applicable) shown separately
- The total amount payable
Tax note: GST 5% + provincial HST/PST/QST. Tax rules change — confirm anything unusual with your accountant.
Tips for invoicing in Canada
- Show each tax on its own line (GST, then PST/QST). Lumping them together confuses clients and accountants alike.
- Small suppliers under $30,000 don't charge GST/HST — but say 'GST/HST not charged — small supplier' so clients don't ask.
- Keep invoices for 6 years from the end of the tax year. The CRA expects records to support every input tax credit.
- Bill in CAD for Canadian clients; if you invoice in USD, note the exchange rate used for the tax calculation.
Getting paid on time in Canada
Canadian clients pay faster when there's nothing on the invoice to question. Show GST/HST — and PST/QST where it applies — on separate lines, use a concrete due date rather than a bare "Net 30," and send the invoice the same day the work wraps up. Prompt invoicing is one of the simplest ways to shorten the payment cycle, and sequential numbering keeps your records clean for tax time.
When a payment goes overdue, a short, polite reminder referencing the invoice number usually resolves it — most late payments are simple forgetfulness. If it drags past a week, follow up again with a firmer tone and ask for a specific payment date. Our late payments guide walks through the full escalation, from the day-one nudge to the final notice.
For steadier cash flow, build the habits in our getting paid faster guide into your process: deposits on bigger projects, exact payment instructions on every invoice, and short terms until a client proves reliable. Billia's free invoice generator handles the numbering, the provincial tax math, and the clean PDF automatically.

Create my invoice — freeFrequently asked questions
Do I need to charge GST/HST as a freelancer?
If your worldwide taxable revenues exceed $30,000 over four consecutive quarters, registration is mandatory. Below that it's voluntary — but many freelancers register early to claim input tax credits.
Which tax rate do I charge an out-of-province client?
Generally the rate of the client's province (place of supply rules). An Ontario freelancer billing a BC client charges 5% GST, not 13% HST.
What about Quebec?
Quebec administers its own QST (9.975%) on top of GST. If you do significant business there, register with Revenu Québec too.
