Free UK Invoice Template

If you're VAT-registered in the UK, your invoices have to meet HMRC's VAT invoice rules — get the fields wrong and clients can reject the invoice or HMRC can disallow your VAT claims. The good news: the rules are a fixed checklist, and Billia's tax field handles the math.

What a United Kingdom invoice must include

  • A unique, sequential invoice number
  • Your business name and address
  • Your VAT registration number
  • The invoice date and the tax point (supply date)
  • Your customer's name and address
  • A description of the goods or services supplied
  • For each line: unit price excluding VAT, quantity, and VAT rate
  • Total excluding VAT, total VAT charged, and total including VAT

Tax note: VAT at 20% (standard rate). Tax rules change — confirm anything unusual with your accountant.

Tips for invoicing in United Kingdom

  • Use the notes field for your VAT number if it doesn't fit elsewhere — but it must appear on every VAT invoice.
  • Sole traders: include your own name plus any trading name, and an address where legal documents can be served.
  • Limited companies must show the registered company number and registered office address.
  • Keep copies of every VAT invoice for at least 6 years — HMRC can ask to see them.

Getting paid on time in the United Kingdom

Agree payment terms in writing before work starts — not on the invoice after the fact. A clear due date, your accepted payment methods, and a stated late-payment policy prevent most disputes before they begin, and they give you something concrete to point to if a client goes quiet. Send the invoice promptly too: bills issued within a day or two of delivery tend to be paid faster than month-end batches, and your cash flow will thank you.

If a client misses the due date, don't wait and hope — a polite reminder referencing the invoice number and amount often recovers overdue payments quickly. Escalate gradually rather than going in heavy on day one; firm, then formal. Our late payments guide lays out a reminder sequence that stays professional from the first nudge to the final notice, including what to write at each stage.

To stop lateness before it starts, adopt the habits in our getting paid faster guide — deposits on larger projects, exact payment details on every invoice, and short payment terms for new clients. Create each invoice with Billia's free invoice generator, and the admin takes minutes instead of evenings.

Frequently asked questions

Do I need to charge VAT as a UK freelancer?

Only if you're VAT-registered. Registration becomes mandatory when your taxable turnover passes £90,000 in 12 months (or is expected to). Below that you can register voluntarily — some freelancers do so to reclaim VAT on expenses.

What is a simplified VAT invoice?

For sales under £250 including VAT, you can issue a simplified invoice with fewer fields: supplier name, address and VAT number, date, description, VAT rate, and VAT-inclusive total. Over £250 needs a full VAT invoice.

Can I invoice in a foreign currency?

Yes, but a VAT invoice must also show the VAT amount in sterling, and the total VAT charged expressed in GBP.
